How can I manage alerts and notifications?

The platform uses alerts to notify you about the status of your SAQ.

Background

Alerts keep users informed about important updates and activities on the platform such as requests from customers, changes to the status of a questionnaire and activity associated with other users on the same account. These alerts help users to manage their time and interact with the platform as and when it is needed.

Steps

To manage alerts and notifications


  1. Sign in to your NQC account.
  2. Select the bell icon in the top right corner of the screen.
  3. You will see the 3 most recent alerts.
  4. Click on an alert to see more detail.
  5. Select 'View all alerts' to see all of your alerts.
  6. If you select an individual alert about a questionnaire, you will be directed to the questionnaire.

How do I use the message feature available on the platform?

Suppliers and customers can message each other, directly via the platform, in relation to a specific questionnaire or assessment.

Background

The NQC platform supports direct messaging between suppliers and customers to help resolve direct questions or actions against questionnaires or data requests.

Steps

To use the message feature


  1. Sign in to your NQC account.
  2. Find the relevant questionnaire that you want to message your supplier or customer about using the search and filter options on your Dashboard.
  3. Click on the 'Message' button on the questionnaire tile.
  4. If this is the first message in a conversation, choose a name for the message topic and select 'Save'.
  5. Type your message in the message box provided.
  6. You can use the platform 'Enable translations' option in the "More options" menu if you need to translate all messages in a conversation in your platform language.
  7. Select the paper plane icon at the bottom right of the message box.

How can I see my messages?

You can view all messages that you have received via the Messages option (the message icon) on the top right side of your Dashboard.

To see your messages


  1. Sign in to your NQC account.
  2. Click on the messages icon in the top right hand side of any page to access your messages.
  3. You can select a recent conversation and open all associated messages in a conversation or you can select the 'View all messages' link at the bottom of the messages box.
  4. From the 'Messages' page, click on the name of a conversation to open it and view the full conversation history.
  5. Messages shown in bold indicate that there is a new message within a conversation.

What is the Communications screen?

The Communications screen provides a record of communications sent in relation to a specific questionnaire, including campaign invitations and reminder emails.

Background

The Communications screen allows Buyers and Suppliers to view communications associated with an individual questionnaire. This includes system-generated campaign invitation and reminder emails sent through the platform. Communications are displayed alongside key information including the subject, sender, recipient, delivery status and date sent. The content of emails is not currently available within the Communications screen.

Steps

To view communication history:


  1. Open the questionnaire you wish to review.
  2. Select Communications from the dropdown menu.
  3. Review the communication history displayed in the table.
  4. Review the Type, Subject, From, To, Status and Date columns.
  5. Use this information to track communication activity, delivery status and the timing of communications relating to the questionnaire.

How do I customise the alerts I receive?

You can configure your alerts to ensure you only receive relevant information.

Background

Alerts keep users informed about important updates and activity across the platform, such as customer requests, changes to questionnaire status, and actions taken by users within the same organisation. These alerts help users manage their time and respond promptly to required actions.

Please note that notifications related to questionnaires with a "Requested" status cannot be turned off. These alerts are mandatory, as they indicate that action is still required on a questionnaire (for example, a buyer request, unmet minimum requirements, or an in-progress questionnaire). This ensures critical actions are not missed.

Steps

To customise your alerts


  1. Sign in to your NQC account.
  2. Select your initials in the top right corner of the screen.
  3. Select 'Account Settings'.
  4. Select 'Alerts' from the dropdown menu, select 'Edit' at the bottom.
  5. Select the questionnaire that you want to edit alerts for and then select the questionnaire status using the drop down arrows.
  6. You can also select to be alerted based on the rating of a Completed questionnaire.
  7. Once you have configured your alerts, select 'Save'.

Can I contact my customer via the platform?

You can send a message to your customer, directly via the platform, in relation to a specific questionnaire or assessment that they have asked you to complete.

Steps

To contact your customer


  1. Sign in to your NQC account.
  2. Find the relevant questionnaire on your dashboard that you want to message your customer about (use filters and search if needed).
  3. Click on the 'Message' button on the questionnaire tile.
  4. If the questionnaire is shared with more than one buyer, choose the buyer contact that you want to message and select 'Confirm'.
  5. Where this is the first message between you and the customer, choose a name for the message topic and select 'Save'.
  6. Type your message to the customer in the message box provided.
  7. You can use the platform 'Enable translations' option in the "More options" menu if you need to translate all messages in a conversation in your platform language.
  8. Select the paper plane icon at the bottom right of the message box.

What do the communication statuses mean?

Communication statuses indicate whether an email is being processed, delivered successfully or could not be delivered.

Background

The Communications screen displays the delivery status of each communication to help users understand whether an email was successfully sent.

Steps

Communication statuses:


  1. Sending - The email is currently being processed.
  2. Delivered - The email was successfully delivered.
  3. Undelivered - The email could not be delivered.
